There are plenty of accounting platforms out there, but two of the most talked-about are Quickbooks and Microsoft’s Dynamics 365. And they’re popular for good reason, too – both offer great functionality, and both are affordable to smaller companies. 

In this blog, we’re going to compare the pros and cons of each system to help you decide which one is the best fit for your organisation. 

A closer look at Quickbooks

Quickbooks, launched and owned by Intuit, is one of the most established cloud-based accounting products available. It’s been specifically designed for small businesses and has enjoyed an exceptional market share since it’s been live in various forms since 1983. It’s reliable, it’s notoriously easy to use, and it’s loved by accountants worldwide for its intuitive structure; plus, it’s renowned for its excellent payroll and payment processing capabilities.

It’s also really simple to set up, so even an accounting novice could get themselves up and running with Quickbooks with minimum hassle.

A closer look at D365

Dynamics 365 NAV, or D365 for short, has only been around for a year or two at time of, however, simply put, D365 is the diluted, cloud version of Microsoft Dynamics NAV which is a BMS veteran. It doesn’t have the longevity and proven track record of Quickbooks, but it’s already caused quite a splash in the accounting industry during its short lifetime. Microsoft have looked at the shortcomings of other platforms, such as poor security, and provided us with a solution that addresses these weaknesses whilst maintaining the high standard of functionality we’ve come to expect.

Like all Microsoft products, D365 can be integrated with Office, Excel, Outlook and CRM for a unified experience. It’s a SaaS-only product, too, which means it’s only available in the cloud.

Comparing value

Price is always a big factor when choosing the right technology for your business. On the surface, both Quickbooks and D365 offer exceptional value for money, especially when you take the full range of features available from each platform. However, D365 pips Quickbooks to the post when it comes to affordability.

For as little as £30.20 per user per month, you can tap into D365’s amazing functionality. The Business Edition boasts over 600 more features than Quickbooks Online Plus, so when it comes down to it, you are definitely getting more bang for your buck with Microsoft. 

That said, if you’re a micro- or small- business, Quickbooks’ Online Essentials package will give you everything you need to manage your accounts, VAT, payroll and employee time, and it’s currently priced at just £25 per month. It’s a case of weighing up the cost of the product to your organisation, and working out what you really need from it.

Taking everything into consideration, here are the main criteria we think you should consider when deciding whether to stick with Quickbooks or upgrade to D365.

You should choose Quickbooks if:

  • You need payroll and credit card processing functionality to be included within your package as standard
  • You would prefer an on-premise accounting system
  • You don’t have plans to expand significantly right now
  • You’re happy with the platform as it is, and you feel it does everything you need it to do

You should choose D365 if:

  • Your company is growing fast and you need a more scalable accounting platform
  • You have a team of financial controllers, as opposed to just one accountant
  • You do business in multiple countries (or you want to in the near future)
  • You already handle over a thousand transactions every month
  • You want more robust reporting options
  • You want to be able to integrate your accounting software with other Microsoft products, such as Office 365, for seamless working
